<p>A screen flickers &#8212; filled with unfamiliar faces, the potential business partners. A meeting is soon to begin, and you’re swallowing down the nervous laughter that threatens to bubble out of you. Video conferencing is an unfamiliar process. You’ve confined yourself to the world of emails and telephones. Exchanging information with the aid of a television seems somehow strange.</p>
<p>You’re prepared, however: with an outfit chosen carefully and a style that can’t be denied. Bright patterns, bold accessories &#8212; you celebrate fashion to earn respect. There are no flaws to find with your design&#8230;. until the conference begins and that design <em>distorts</em>.</p>
<p>Video conferencing is a value within industry. It allows companies to defy distance, forge relationships across the globe. There are limitations within it, however &#8212; and pixels often are unable to sustain themselves with the arrival of heavy colors, patterns or textures. Images blur; distortion forms; and shadows are cast, unwelcome, against the screen.</p>
<p>It’s vital therefore that individuals &#8212; like yourself &#8212; recognize the potential problems of video chats. Cameras offer lower resolutions. Their speeds rely on Internet connections, which can cause them to slow (sharing networks with the rest of the company, trying to reconcile all of the emails and search engine requests being sent at that time). Trying to film bright patterns therefore is a problem: with the equipment unable to compensate. This can form unwanted results, with the pictures then obscured.</p>
<p>All video conferences should be offered simple designs. Solid colors and subtle patterns are vital. These will not corrupt the images and will instead ensure that all pixels are perfect &#8212; allowing a meeting to proceed as planned.</p>

<p>Video conferencing has taken corporate communications to a whole new level. You no longer need to travel across states or even countries to talk business with potential clients or discuss operations with counterparts in different locations. Thanks to technologies like satellite star internet, 3G and more, companies can leverage the benefits of video conferencing and greatly reduce the cost of travel as well as improve the level of communication between stakeholders. But what exactly is video conferencing?</p>
<p>In its initial years, video conferencing technology was not understood too well by the common people. In fact, it was often mistaken for the video chat function on instant messengers like Yahoo Messenger. However, messenger services don’t have the feature of including people from more than two locations at a time. Messenger services also don’t have the level of clarity and sound quality that modern day video conferencing systems have.</p>
<p>When the video conferencing technology was relatively new, it was highly priced. People were also hesitant to try out new technology that they had not heard much about. Hence, the popularity of video conferencing has taken time to grow. Now, as technology has advanced, manufacturers have found ways to reduce the cost of the systems. In addition, they usually offer several value added services on video conferencing to encourage organizations to invest in the technology.</p>
<p>Companies too are waking up to the benefits that video conferencing brings. After the initial investment, the cost savings can be huge and there can be tremendous improvement in business communication too! As the demand for video conferencing systems is increasing, so is the number of players offering such services. This has led to a healthy growth in technology and reduction in price!</p>

<p>The advances in video-chat, and the prospects for the reality of that particular science-fiction, are rooted in two things. One is the proliferation of the Internet and in particular high-speed access to it. With that access and increased speed come sites like Skype, which offer not only video-chat service with almost limitless potential, but <em>free</em> video-chat service with almost limitless potential. As such, while the cost of a phone call can remain high, especially overseas, anyone with a good Internet connection can use Skype.</p>

<p>The other hope for easy and prolific video-chat is the abundance of smart-phones. Phone technology has advanced to the point where people are carrying around powerful computers in their pocket; it seems only a matter of time before phones replace the personal computer entirely. Phones&#8217; access to the Internet means people potentially can make calls through their phone on the Internet, without using the traditional phone service. How ironic. Advances in 3D video technology means holographic video might not be that far off, and there&#8217;s no doubt it&#8217;ll be on a phone.</p>
<p>&nbsp;</p>
<p>Video-chat technology currently is not perfect – anyone who has used Skype or the other services can attest to the occasional delay in response (known as “lag”). Then again, current cell phone audio quality is pretty low and people put up with <em>that</em>. The resolution of both issues is likely only a matter of time and further advancement.</p>

<p>Video conferencing has been making waves in the world of corporate communication and has saved organizations a lot of money in travel bills too! While several companies are now tapping into video conferencing technologies, there are certain steps that you can take to make your video conferencing experience even better! Here’s how:</p>

<li>Before you start a meeting over video conferencing, try communication a schedule or agenda beforehand. This will avoid unnecessary delays while people try to figure out how the meeting should progress.</li>
<li>You should remember that video conferencing technology, although well developed, isn’t perfect! You will have to make sure that everyone involved in the meeting across locations can clearly hear and see everyone else. Request all speaks to avoid speaking softly and maintain clarity.</li>
<li>Have your technical department give all the participants a short instruction on how to use the video conferencing equipment as well as basic trouble shooting skills. This will avoid delays in waiting for tech-support to show up in case of minor glitches.</li>

<li>Switch your cell phone’s settings to silent, turn off pagers and alarms too. Not only can these cause disruptions but it is also considered rude to have a cell phone ringing constantly in between a meeting!</li>
<li>Make sure the speakers are turned towards the microphones when talking to enhance voice clarity and legibility.</li>

<p>However, with computers came problems, at least until the idea of software distribution was thought up. One problem that seems minor but leads to many headaches is that of inter-office software compatibility issues. If your employees are left to make their own decisions about when to upgrade their software, there will be wide variance. Tech-oriented types will download updates the second that they become available, interested in improved functionality. Others, of the &#8220;if it&#8217;s not broken, don&#8217;t fix it&#8221; school of thought, will cling to their present version for a long time. This can lead to cross platform issues as old programs meet new, and the synchronization isn&#8217;t smooth.</p>
<p>To avoid the problem, it&#8217;s becoming more and more common to engage a software distribution service. These champions of productivity upgrade every computer in the office at the same time, eliminating those old headaches caused by employees left to their own upgrade schedules. In a technology-rich office, it should be standard practice to get every employee on the same version of program, from video chat to global connections between international office branches.
